1.1 Information You Provide Directly

- Billing information: Credit card details and billing address (processed by our payment processor; we do not store full card numbers).
- Communications: Messages, support requests, demo requests, and feedback you send to us.
- Form submissions: Information submitted through contact or demo request forms, including SMS opt-in consent.
1.2 Location and GPS Data
- Real-time location data: When guards use the mobile application, we collect precise GPS coordinates to power patrol tracking, checkpoint verification, and geo-fencing features.
- Location history: GPS patrol routes and location history are stored to provide audit trails, incident documentation, and compliance reporting.
- Guard consent: Guards are informed that location data is collected when they use the Guard Direct mobile application in connection with their employment or contracted work. By using the app, guards consent to this collection. Employers are responsible for providing any additional disclosures required under applicable law.
1.3 Device and Usage Data
- Device type, operating system, and app version
- IP address and approximate geographic location
- Browser type and referring URLs (web portal users)
- Log data including pages visited, features used, clicks, and timestamps
- Session duration and frequency of use
- Error reports and crash logs
1.4 Automatically Collected Information
We use cookies, web beacons, and similar tracking technologies to collect information automatically when you visit our website. This includes session cookies (necessary for platform functionality) and analytics cookies (to understand how users interact with our platform).
2. How We Use Your Information
We use the information we collect to:
- Deliver our Services: Process schedules, display live GPS maps, generate reports, and operate platform features.
- Account management: Create and maintain user accounts, authenticate logins, and manage permissions.
- Communications: Respond to support inquiries, send service notifications, and deliver demo information you requested.
- SMS notifications: Send transactional and operational SMS messages to users who have opted in (scheduling updates, alerts, shift reminders).
- Analytics and improvement: Understand how the platform is used to improve features and user experience.
- Security and fraud prevention: Detect and prevent unauthorized access, misuse, or fraudulent activity.
- Legal compliance: Meet our obligations under applicable laws, regulations, and contractual requirements.
- Billing and payments: Process subscription payments and send invoices.
3. How We Share Your Information
We do not sell your personal information to third parties. Period.
We may share your information in the following limited circumstances:
- Service providers: Third-party vendors who assist with payment processing, cloud hosting, analytics, email delivery, and SMS messaging — all bound by confidentiality agreements.
- Within your organization: Account administrators can view and manage data for all users under their organization's account.
- Client portal sharing: If your company provides clients access to a view-only portal, patrol data visible to that client is shared as configured by your account administrators.
- Legal requirements: When required by law, regulation, subpoena, or court order, or to protect the rights, safety, or property of Guard Direct, our users, or others.
- Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
4. Data Retention
- Active accounts: Data is retained for the duration of the subscription and as needed for legal compliance.
- GPS history: Standard retention is 90 days for GPS route history; extended retention is available as an add-on.
- Incident reports and documents: Retained for the subscription period plus 2 years, unless otherwise configured.
- After account termination: Upon request, we will delete personal data within 30 days of account closure, subject to legal hold obligations.
- Backups: Data in backup archives may persist for up to 90 days after deletion from active systems.
5. Your Privacy Rights
Depending on your location, you may have the following rights:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data (subject to legal retention requirements).
- Opt-out of SMS: Reply STOP to any SMS from Guard Direct to unsubscribe from text messages.
- Cookie preferences: Adjust cookie settings through our cookie consent banner.
- Data portability: Request your data in a portable format where technically feasible.
- Restriction: Request that we restrict processing of your data in certain circumstances.

No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we take all reasonable precautions.
7. GPS Tracking Disclosure
Guard Direct's core functionality includes real-time and historical GPS location tracking of guards. Security companies using our platform are responsible for:
- Informing their employees and contractors that location tracking is in use
- Obtaining any required consent under applicable federal, state, and local employment laws
- Configuring tracking settings appropriate to their jurisdiction
- Ensuring GPS tracking is used only for lawful business purposes
Guard Direct provides tracking infrastructure; the employer is the data controller for their employee location data.
8. Children's Privacy
Our Services are intended for business use by adults aged 18 and over. We do not knowingly collect personal information from children under 13. If we become aware of any such collection, we will delete the information immediately.
9. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of material changes by posting the updated policy on our website and, where appropriate, via email. Continued use of the Services after the effective date constitutes your acceptance of the updated policy.
